Payment allocations and unallocated payments

How do I allocate an unallocated payment?

Payment allocation links a payment with one or more invoiced billing items to track whether they have been paid. Typically, you wouldn't need to adjust these, but it can be useful to re-allocate payments.

Allocated payments

When an invoice is paid, it is automatically allocated to the invoice and its billing items. Payments can be viewed on the Payments tab of the client billing page, and the allocations are available within the payment details.

Unallocated payments

Unallocated payments are payments that have been unallocated from an invoice. This can happen when deleting a paid invoice or if allocations have been manually adjusted.

The unallocated payments filter can be used to view these payments on the Payments tab of the Client Billing page.


Allocating payments

To re-allocate unallocated payments:

  1. Go to Clients and select a specific client.

  2. Go to payments.

  3. Open the payment you want to re-allocate.

  4. Click “Edit payment details.”

  5. A list of available items will be shown:

    • If there are no unpaid or unallocated invoices, no items may be shown.

  6. Click the checkbox to allocate the payment to that invoiced item.

  7. Adjust the allocated amount if necessary.

  8. Click Save.

Tips

  • Allocating to an unpaid invoice will reduce the amount due when paying the invoice.

  • The amount allocated to invoices will be shown on the invoice as “Amount paid.”
