How to set up e-prescription (eRx) in Carepatron

How do I set up e-Rx in Carepatron and start prescribing electronically?

Carepatron now lets you use electronic prescribing (eRx) through its integration with DoseSpot, so you can send prescriptions electronically directly within the platform. This feature simplifies your prescription workflow by connecting your workspace, clinicians, and patients to the DoseSpot e-prescribing network.

In this article, we will cover the following:

eRx integration is currently only available in the US, but support for more regions is coming soon.


Register your clinic

Clinic registration is the first step to setting up e-prescribing for your workspace. This connects your Carepatron workspace to DoseSpot and prepares it for clinician onboarding.

Step 1: Navigate to ePrescribe Setup

To set up:

  1. Go to ePrescribe from the left sidebar.

  2. Click the Setup tab (visible only before setup is complete).

  3. Click "Set up ePrescribe" to open the clinic registration panel.

  4. Fill in the required fields and click "Create".

The setup page displays a four-step progress indicator:

  • Create workspace

  • Invite clinicians

  • Clinicians verify

  • Ready to prescribe

Step 1 of 4 is active, showing the heading "Create your DoseSpot workspace to set up ePrescribe" with a brief description and a "Set up ePrescribe" button. A panel on the right lists the key capabilities powered by DoseSpot:

  • Send controlled and non-controlled substances

  • Real-time pharmacy routing and delivery confirmation

  • DEA and state license compliance are built into the workflow

  • Prescriptions sync automatically to the client record

Step 2: Create your DoseSpot account

Click "Set up ePrescribe" to open the "Create your DoseSpot account" side panel. Fill in the following details:

  • Choose locations. Select an existing physical location from the dropdown, or click "+ New location" to create one. The dropdown displays saved locations with their full address details for easy identification.

  • Physical address. The street address of your clinic.

  • Suburb/Province and City. The locality details for your clinic.

  • State. Select your state from a dropdown list of US states. This field is a dropdown to ensure an accurate state value is captured for DoseSpot registration.

  • Zip code and Country. Regional identifiers required for DoseSpot registration.

  • Phone number. A valid US phone number for the clinic, entered with the +1 country code.

Once all required fields are completed, click "Create" to register your clinic with DoseSpot.

Step 3: Confirm registration

After successful registration, the setup flow automatically advances to Step 2 of 4 (Invite clinicians). The right panel updates to display your registered clinic name and address, confirming the workspace has been connected to DoseSpot.


Invite clinicians

After completing clinic registration, the workspace admin selects which practitioners will have access to ePrescribe. This step sends enrollment invitations and initiates billing once each clinician completes identity verification.

Step 1: Select clinicians to invite

This screen displays a searchable table of all team members in your Carepatron workspace, with columns for Name, Email, and Job title.

A note at the top explains:

These clinicians are already in your Carepatron account — select who you'd like to enroll in DoseSpot. Billing of $39/month per clinician begins only after each clinician completes identity verification.

Select one or more clinicians using the checkboxes. The panel on the right updates to show a running count of selected clinicians and the projected monthly total (e.g., 2 clinicians selected — Total: $78/monthly).

Once your selection is made, click "Invite clinicians".

Step 2: Confirm Invitations

A confirmation dialog appears with the title "Send invitations".

The dialog summarises the number of clinicians selected and the associated billing, for example:

Click "Send invitations" to confirm, or "Cancel" to return to the selection screen. Once confirmed, invitation emails are dispatched to the selected clinicians and they can begin enrollment immediately.


Clinician enrollment

Clinician enrollment connects individual practitioners to the DoseSpot e-prescribing network. This step requires a workspace admin to have already completed clinic registration and sent an invitation.

Each clinician must provide their personal and professional details, assign themselves to one or more clinic locations, and complete an identity verification process before they can begin prescribing.

Step 1: Access the Enrollment Tab

Once invited, the clinician navigates to ePrescribe from the left sidebar. An Enrollment tab is now visible. The page shows the following message:

The right panel displays the clinic location and a "Complete enrollment" link beside the clinician's name. Click "Complete enrollment" to open the registration side panel.

Step 2: Fill in your professional details

A side panel titled "ePrescribe enrollment with DoseSpot" opens. Fill in the following details:

  • First name and Last name: Pre-filled from your Carepatron profile.

  • Date of birth: Your date of birth in MM/DD/YYYY format.

  • National provider identifier (NPI Type 1): Your individual NPI number, required for e-prescribing.

  • Phone number: A valid US phone number with the +1 country code.

  • Physical address: Your professional address, including Suburb/Province, City, State, Zip code, and Country.

Step 3: Assign locations

Under the "Assign locations" section, select one or more clinic locations from the dropdown.

The description reads:

"Choose your clinic location to ensure your prescription complies with local rules and reaches the right pharmacy."

Once a location is selected, it expands to show additional optional fields specific to that location:

  • Use as default: Set this location as your default prescribing location.

  • DEA number (Optional): Your Drug Enforcement Administration number for this location.

  • NA DEA Number (Optional): Your state-level narcotic authority DEA number.

  • Medical License Number (Optional): Your medical license number for the state where this location operates.

You can assign multiple locations and configure each one independently.

Step 4: Submit and wait for confirmation

Click "Connect" to submit your enrollment. The button enters a loading state while Carepatron waits for DoseSpot to confirm the registration. This typically completes within a minute.

Once DoseSpot confirms the registration, the enrollment is successful and the page advances to the Verification step.

Step 5: Start identity verification

After successful registration, the page advances to Step 2 of 3 (Verification). The screen displays the heading "Verify your identity" with the following guidance:

To start prescribing electronically, DoseSpot needs to verify your identity. This is a one-time step.

You'll need:

Your mobile phone

Your NPI, DEA number, and state license details

Once submitted, DoseSpot typically verifies credentials within 30 minutes. You'll receive an email when you're approved and ready to prescribe.

Click "Start identity verification" to proceed. A side panel opens showing the DoseSpot "Getting Started with DoseSpot" page, which outlines all steps required before you can begin prescribing. Two verification tasks are presented:

  • DoseSpot ePrescribing Authorization Agreement – Click "COMPLETE AGREEMENT" to review and sign the general ePrescribing agreement.

  • Experian Facial Proofing – Click "BEGIN IDENTITY PROOFING" to complete identity verification through the Experian agency. Identity proofing of specific financial records is required for continued use of DoseSpot. These services are done through the Experian agency.

Once both steps are completed successfully, the clinician is fully verified and can begin prescribing electronically for their assigned patients.


Complete identity proofing with facial recognition

To continue with ePrescribing, you must complete Identity Proofing first.

Please have the following ready:

  • Social Security Number

  • Credit Card Number (debit cards not accepted)

  • Driver's License Number (highly encouraged)

  • Driver's License, ID card, passport booklet with a photo for facial recognition

  1. After signing into your profile, you will be prompted to complete the Identity Proofing Agreement, initiating the IDP process. This step is crucial to maintain the highest level of security for your ePrescribing workflow.

    Please note: Prescribing medications will not be possible until the Identity Proofing process is successfully completed

  2. Click on the green Begin Identity Proofing button to get started.

  3. After clicking, the Notice and Acknowledgement will appear. Read through the agreement, accept the terms, and click Start to continue.

  4. When the disclaimer is finished, you will see the first step (left picture below) in the process. You will fill out your personal information and hit next. Please be aware of what items are marked with a red asterisk, as they are mandatory for completing the IDP.

    Once “Next” is selected, you will see step 2 of the IDP. You will be asked four multiple-choice questions about your credit history. Select “Next” once completed.

  5. This brings us to the new facial recognition step of IDP. Below, you will see the IDP Facial Recognition initiation pop-up (pictured left) and the text message sent to start the process (pictured

  7. After facial recognition has been completed on your cell phone, you will see one of two notifications in the prescribing application.

    a. The green banner shows a successful message that IDP has been completed.

    b. The red banner shows a failed IDP

  8. If you fail the Experian identity questions, you will have up to three attempts. After the third failure, DoseSpot will display the link to complete the workflow using ID.me. You can access the ID.me user guide here. Verification can take up to 24 hours.

⚠️Important: Clinicians cannot prescribe until identity verification is complete. Only US-based documents are accepted.


Add patients

Patients must be registered in DoseSpot before a clinician can prescribe for them. This collects essential demographic and contact information.

To register them:

  1. Go to Clients → Select client → Medication tab.

  2. This tab contains two panels:

    • Medication – Track and manage your client's prescriptions and historical medication list. Includes a + Request prescription button.

    • Pharmacy – Displays the list of pharmacies assigned to the patient. Initially shows "No pharmacy found" until a pharmacy is set through DoseSpot.

  3. Click the + Request prescription button. The Client eRx enrollment with DoseSpot side panel will appear.

    The following fields are available, with some pre-filled from the client's Carepatron profile:

    • First name and Last name – Pre-filled from the client record.

    • Date of birth – The client's date of birth in MM/DD/YYYY format.

    • Sex – The client's biological sex (required by DoseSpot).

    • Phone number – A valid US phone number with the +1 country code.

    • Email – The client's email address.

    • Physical address – Street address, Suburb/Province, City, State, Zip code, and Country.

    • Vitals (required for patients aged 18 and under):

      • Height – With selectable unit (cm)

      • Weight – With selectable unit (kg)

  4. Click Create to register the patient.

Note: Users can access medication history in DoseSpot only if they are registered clinicians within the practice. Two-factor authentication (TFA) is not required to view this information in DoseSpot. Users can access the Medication History tab, which displays up to the last 12 months of medication history.


Start prescribing with DoseSpot

Once the patient is registered, the DoseSpot interface opens as a full-page modal inside Carepatron. Clinicians can search pharmacies, add medications, and send prescriptions electronically.

To start prescribing:

  1. Review patient information such as their address, phone number, insurance plan, and Medical record number (MRN). Complete the Drug allergies information if applicable.

  2. Click +Add prescription from the left sidebar. The flow has three steps: Choose Pharmacy → Add Prescriptions → Review.

  3. In Choose Pharmacy, search by pharmacy name, select the correct location from the results, then click Next. The selected pharmacy will be saved as the patient’s default pharmacy.

  4. Search for medications by name using the search bar.

    ℹ️ Results are organized into tabs: Medications & Supplies, Clinic Presets, Favorites, and Order Sets. You can also create a Custom Supply or Custom Compound if needed.

  5. Click on a medication to configure the prescription details.

  6. Configure prescription details.

    ℹ️ A detail panel opens with the following fields:

    • Diagnosis codes (Optional) – Search for diagnosis codes by name, with up to 2 codes per set.

    • No substitutions / Urgent – Optional checkboxes.

    • SIG builder – Build medication instructions using structured fields:

      • Dose delivery method (e.g., Take)

      • Dose quantity

      • Dose form (e.g., Tablet)

      • Route of administration (e.g., Oral)

      • Frequency

      • Day supply

    • Patient directions (SIG) – Free-text instructions for the patient.

    • Total dispense and Total dispense form – The quantity and form to dispense.

    • Refills – Number of refills authorized.

    • Effective date – Defaults to today's date.

    • Dose calculator – An expandable tool for calculating dosage.

    • Pharmacy – Pre-filled with the selected pharmacy.

    • Pharmacy notes – Additional notes for the pharmacy.

  7. Click Create medication to add it to the prescription, or Clear or Cancel to discard.

  8. Review and add more medications.

    ℹ️After creating a medication, it appears in the Items to prescribe panel with key details such as instructions, dispense count, and refills. You can add more medications or click Next to review. The sidebar will show Continue prescription and indicate how many items are saved as drafts.

  9. Review and send

    ℹ️In the Review step, all prescription items appear in a table showing details, quantities, pharmacy, entered by, date, and status. Select prescriptions using the checkbox to approve them.

    At the bottom of the screen, you can:

    • Save as pending prescription – Save without sending

    • Print prescription – Generate a printable copy

    • Cancel – Discard the prescription

    • Approve & send – Send electronically to the pharmacy

    Click Approve & send to transmit the prescription.

  10. View synced prescriptions in Carepatron. After closing the DoseSpot modal, the client’s Medication tab automatically updates with the latest prescription data.

  11. Go to Clients from the left sidebar, select a client, and click the Medication tab.

    Prescriptions are organized into tabs: Active, Inactive, Self-reported, and Renewal requests, each of which shows a count. Each active prescription card displays:

    • Medication name and status

    • Instructions

    • Effective date, dispense count, refills, and prescribing clinician

    • Expandable details such as last filled date, days supplied, pharmacy details, and notes

    The Pharmacy panel also updates to show the assigned pharmacy with a Default badge and full address.

  12. Click "+ Request prescription" to register the patient and begin prescribing.


Setting up two-factor authentication (TFA) for controlled substances

To prescribe controlled substances electronically (EPCS), you’ll need to complete an additional verification step by setting up two-factor authentication (TFA).

After completing the Identity Proofing process, providers must activate their DUO Mobile Application to finalize the EPCS and two- factor authentication setup. This activation step enables clinicians to electronically sign and send prescriptions for controlled substances.

Important: Carepatron must initiate the EPCS/TFA activation in the

DoseSpot Admin Console before the clinician can start their activation

process. Reach out to support@carepatron.com to request TFA activation.

To complete TFA activation in DoseSpot:

  1. Once you have completed your identity proofing, you will be able to

    set up two-factor authentication. Click on the notification icon from

    the top navigation. Under DoseSpot, you will be prompted to Complete

    TFA Activation.

  2. Enter the mobile number you will use for the DUO app in the box. Then,

    check the box to agree to receive SMS text messages. Click the Send

    Me DUO Activation Texts button to continue.

  3. Once your mobile number is submitted, you will receive two text messages from DUO Mobile:
    a. The first link will bring you to the app store to download and install the Duo Mobile app.

    b. After installation, click the second link to set up your Duo profile. Here you'll be asked to name your account.

  4. Install the DUO Mobile app if you have not already done so, then click the link in the second text message. You will be prompted to name your account. The Account Name will default to DoseSpot, but you may change this name if you choose. Fill in the account name and then click Next.

    Note: There is no QR code authorization available. To authorize DUO to authenticate, you must click the second link sent in the DUO activation texts.

  5. Once your account is set up, you'll be prompted to take a brief Duo Mobile tutorial. Feel free to skip it by clicking "Skip" if you'd prefer to jump straight in.

  6. This is Duo's most important page — it's where you'll find the TFA codes needed for sending controlled substances. Click "Show Passcode" to reveal your code, or "Refresh Passcode" to generate a new one.

  7. Complete the TFA Authentication pop-up to activate your mobile app. If you are unsure about what to enter, use the guide below:

    a. The Reference Number will be disabled with the number pre- populated.

    b. The Passcode is the 6-digit code that is generated by the DUO Mobile app.

    c. If you currently use a PIN for sending prescriptions, enter it here. If not, you will be prompted to set one before continuing.

  8. Upon submission, you should see a Success! status message. You are now ready to start EPCS in DoseSpot. If you encounter an error, please continue to our Troubleshooting section.

With both identity proofing and TFA completed, you are ready to prescribe controlled substances.

Simply re-enter the prescription that was previously blocked and follow the standard prescription workflow, noting that you will be prompted to enter your PIN when approving and sending the prescription.

After submission, DoseSpot will display a confirmation message indicating the prescription was sent successfully.


:warning:

Please Note: DoseSpot has identified an issue where Identity Proofing (IDP) messages from Experian are being sent to spam by phone providers. They will be implementing additional text in the application to inform clinicians of the issue, expected to go live in their April 2026 release.


In the meantime, clinicians attempting IDP and not receiving text messages should be advised to check their spam.

  1. Do I need to register my clinic before clinicians can prescribe?
    Yes, clinic registration must be completed first to connect your workspace to DoseSpot and enable clinician onboarding.

  2. Can a clinician prescribe for multiple clinic locations?
    Yes, clinicians can be assigned to one or more locations and set a default prescribing location for each.

  3. How do I know if a patient is ready for e-prescribing?
    A patient must be registered in DoseSpot through the Medication tab; once registered, prescriptions can be created and sent electronically.

  4. What happens if I entered the wrong number?

    No worries - Client and Clinician Admins from your support team will be able to re-enter your mobile number from the Admin Console.

    If additional help is required, please request that your support team open up a DoseSpot support ticket. The DoseSpot team will also be able to edit the number you entered and resend the DUO activation texts.

  5. What happens if I did not receive a text?

    A Client or Clinician Admin can resend a DUO text out to a provider via the Admin Console. If the text is still not received, please confirm the correct mobile number is entered. If additional help is required, please request that your support team open up a DoseSpot support ticket.

  6. What happens if I get a new phone?

    If you back up your apps and transfer everything to your new phone, you should be able to conduct business as usual. If for some reason you no longer have the app, contact your support team to open up a DoseSpot support ticket. DoseSpot can resend the DUO activation texts.

  7. What happens if I change my phone number?

    No issue at all. Open a case in Salesforce, and we will be able to edit your original number and resend the DUO activation texts.
