The client insurance setup phase helps you verify coverage early, collect accurate policy information, and reduce denials or missed benefits.
Completing this phase ensures you capture all the insurance details you need before appointments, saving time and improving claim accuracy.

Enabling insurance billing for a client
To add client insurance, you'll need to enable insurance billing first, then add their policy details.
Go to Clients and select your client.
Click the Insurance tab.
Hit Edit in Claim Settings.
Change Client Billing Method to Insurance.
Save.
Adding client insurance policies and claim details
Collecting accurate client insurance information at intake ensures claims are created with the right payer and policy details. You can also gather insurance policy details during intake. Learn more through our help article: Insurance policy intake form
If you prefer to add them to the client's profile:
Go to clients.
Open the client profile.
Navigate to the Insurance section.
Go to Claim settings and set the client billing method to Insurance.
Add a new policy and enter the necessary details: insurance type, policy type, insurance payer, policy holder, group ID, plan ID, member ID, policy dates, co-pay or co-insurance, deductibles, cover level, and plan type.
Note: You can set the policy status to Unverified and request an eligibility check. Once the eligibility check is successful, the status will automatically update to Verified.
Checking eligibility to confirm active coverage
After setting up the client's insurance, you can verify that the client’s insurance is active and that the plan covers the intended services through eligibility checks.
Open the client’s insurance policy.
Click Request Eligibility.
Refresh the page.
Review the results for active coverage, plan limits, and exclusions.
Update the client record if any information is missing or incorrect.
Note: Some eligibility checks may take a few minutes to complete. Once finished, you can click View report to see the full details.
Configure intake forms to collect insurance details and upload insurance cards automatically
Set up your intake forms so patients can fill in their insurance details ahead of time. Add an option for them to upload a photo of their insurance card right in the form.
