Unified Inbox: All your client conversations in one place

Gmail, Outlook, and Secure Messages now flow into a single inbox

Email and Secure Messages no longer live in separate places. Every client conversation now lands in one inbox, with search, folders, bulk actions, team assignment, and shared inboxes all on the same screen.

All three channels in one conversation list

Gmail, Outlook, and Carepatron Secure Messages now flow into a single list. Each conversation is labeled with its source channel so you always know how you're talking to someone at a glance.

Collapsible message cards: Long email threads collapse into cards. Older messages fold away so you see the latest reply first. Click any card to expand the full message.

Jump to any folder in one click

A persistent filter bar and status tabs sit above the conversation list. The active folder is highlighted so you never lose your place.

Quick views: Assigned to me and Secure messages are available as quick-access views alongside the standard folders.

One search bar across every channel

Type a name, a keyword, or even a partial match and results appear instantly across all channels as you type. You no longer need to remember whether a message came in by email or secure message to find it.

Act on multiple conversations at once

Select multiple conversations and act on them together. A toolbar appears as soon as you select your first conversation.

  • Mark as read

  • Close

  • Assign

  • Delete

Assign to teammates in real time

Assign any conversation to one or more teammates from the conversation header. The assignee chip appears immediately on the row. When a colleague picks up or reassigns a thread, you see it update without refreshing.

Important: To assign a conversation to any teammate, make sure to set up your Team Inbox.

  1. Click Settings (gear icon) beside the +Compose button.

  2. Configure Inbox settings.

  3. Share your Team Inbox with teammates.

One inbox visible to the whole team

Team inboxes sit alongside personal ones. Everyone on the team sees the same conversations. The shared inbox leads with Unassigned and Assigned tabs so it is always clear what still needs an owner and what is already being handled.

Start any message type from one button

A single Compose button opens a channel picker. Start an email, a bulk email, or a secure message without leaving the inbox. When you reply, the composer defaults to the channel your client last used.

  • Group chats: Add clients and teammates to a shared thread for care coordination in one place

  • Send and close: Reply and close the conversation in one step

  • Scheduled send: Queue a message to go out at a future time

  • Mobile compose: Full redesigned compose screen with auto-saving draft and one-tap send

No portal access: If you compose a secure message to a client without portal access, Carepatron flags this clearly before anything is sent.

Secure Messages support more

The following are supported with our secure messaging:

  • Links: Share clickable links that open safely for your client

  • Attachments: Send files and documents directly in a secure thread

  • Inline replies: Reply within the thread so the conversation stays in one place

  • Scheduled send: Queue a secure message to go out later with a clear time shown

Frequently asked questions

  1. Do I need to set anything up to use the unified inbox?

No. The new inbox is available automatically. Your connected email accounts and all existing conversations are already there.

  2. Can I still access inbox settings?

Yes. A settings gear in the inbox header opens a menu for connected email accounts, secure message preferences, and per-inbox configuration.

  3. What happens to unread conversations?

Unread threads show a dot and a bold sender name in the conversation list. Conversations assigned to you show an assignee chip on the row so you can triage at a glance.

  4. Can I see which channel a message came from?

Yes. Every conversation row is labeled with its source channel so you always know whether you're looking at an email or a secure message.
