In-app notifications keep you instantly informed about important updates right within Carepatron. You’ll receive real-time alerts for things like appointments, payments, or files, so you never miss a thing. It’s an easy way to stay connected and up to date without leaving your workspace.
To find them, simply go to the Activity or Bell icon in the upper-right side menu, and you'll find all your notifications.

Types of notifications
The table below lists the notification types that appear in the Activity tab, including detailed information about notification recipients.
| Notification type | Reason to receive | Description |
Scheduling | Appointment assigned | If a new appointment is created with one of the clients and/or services assigned to you. | This is a notification sent from the Admin. to the rest of the staff after scheduling appointments. |
| Client appointment booked | The client has booked an appointment for a service assigned to you. | When a client books an appointment through the booking link, this notification will be received. |
| Appointment cancelled | Received after the client cancels the appointment. | This notification will include the cancellation notice as well as the reason (if provided) for the cancellation. |
| Appointment rescheduled | Received if the client rescheduled the appointment. | You will receive the new appointment details in this notification, as you would for any new appointment. |
| Appointment confirmed | Received after a client confirms attending an appointment you created for them. | This notification will include the appointment details and the client's confirmation. |
Clients & documents | Note/Form Submitted | Once the client has submitted a form, it is received. | This notification will let you know when your client submits a form and allow you to review the information they provided. |
| Client uploaded file | Received after a client uploads any document through their client portal. | Once a document is submitted, this notification will let you know to go in and review the document. |
| Client added a note | Received after a note was created by the client through their client portal. | This notification will let you see the notes your clients create in their client portal. |
| Client updated note | Received after the client has updated the note. | This notification will ensure you don't miss any updates in your client's notes. |
| Client assigned | Received when a client has been assigned to you. | This notification will include the name of the client that has been assigned to you. |
Billing & payments | Invoice paid | Received after a client pays a pending invoice. | Once payment is received, this notification will provide the details around the payment. |
| Subscription payment failed | Received if the payment option on file is unable to process the charge for your Carepatron plan. | If we are unable to process your payment for the plan you are currently using, we will let you know through this notification. |
Workspace | Referral credited | Received if any credit is to be applied for referring a client to sign up to Carepatron. | This notification will include the amount credited and the circumstances under which the credit was received. |
| Referral joined | Received after a client you referred decides to sign up for one of the Carepatron plans. | If you refer a fellow practitioner, and they decide to sign up for one of our plans, we will let you know through this notification. |
Your team | Staff added to shared Inbox | Received after a member of your team has been added to the shared Inbox. | This notification will let you know when a team member is added to the shared inbox and who they are. |
| Staff removed from shared Inbox | Received after removing a team member from the shared Inbox | If a team member is removed from your shared Inbox, you will receive this notification, which also shows who removed them. |
Activity filters
Choose which notifications to see by changing between the following filters:
Unread: Shows unread notifications and is also the default filter upon loading
Read: Shows the notifications that the user has read
Ignored: Shows the notifications that the user has ignored
All: Shows all notifications
Notifications settings
You can choose which types of notifications by going to Settings > My Profile > Notifications. Simply click Edit to select which ones you'd rather not receive.
Scheduling: Get notified when a team member or client books, reschedules, or cancels an appointment.
Practitioner scheduling: Receive updates for appointments you create, reschedule, or cancel.
Billing and payment: Stay informed about client payment updates and reminders.
Client and documentation: Get alerts for client-related updates and documentation changes.
Workspace: Receive notifications about system changes, issues, data transfers, and subscription reminders.
Communications: Stay updated on inbox activity and messages from connected channels.
Note:
With regard to the secure messaging feature, when a client or staff member sends a message, you’ll see a little pop-up at the bottom-right of your screen in real time. All messages also appear directly in your Inbox for easy access, keeping communication seamless.
Moreover, Carepatron groups your notifications using a 3-minute window. Here is how it works:
When you receive a chat message, a 3-minute timer starts.
Any additional messages that arrive within those 3 minutes are grouped.
Once the 3 minutes are up, you receive one in-app (bell icon or activity tab) notification and one email, no matter how many messages arrived in that window.
If you have already read the conversation before the 3 minutes are up, no notification is sent at all, since you are already up to date.
This means you stay informed without being overwhelmed during fast-paced conversations.
