When AI Scribe is enabled for your workspace, it works inside Carepatron video calls using the same session model as standalone recordings. Call audio is captured the same way as before. What changes is the in-call experience and how you land in the post-session note.
What happens at each stage of the call
Lobby. Configure AI Scribe settings and choose when to start transcription before joining
In the call. Start transcription from the AI Scribe panel, confirm consent, and follow the session live
After the call. Open the note and land in the post-session view with the summary, transcript, coding, and draft note in one place
Note complete. Review, edit, and sign the note as usual
Step 1: Before joining (At the lobby)
To use transcription during a Carepatron video call, click Start Video Call from the appointment. Before joining the call, review the AI Scribe card on the pre-join screen and confirm your settings. Once you're in the call, the transcription option is available on your screen.
Check your connection status on the AI Scribe card.
Review your transcription mode. The card shows whether AI Scribe is set to start automatically for appointments or manually. Adjust it directly on the card without opening a separate settings screen.
Choose how to proceed: tap Start on the card to configure transcription before joining, or tap Join now to enter the call and start from inside.
Both paths lead to the same place: Whether you configure before or after joining, transcription is started from the AI Scribe panel inside the call.
Step 2: Starting transcription inside the call
To start transcription from the in-call panel:
Open the AI Scribe side panel from within the call.
Confirm which client the note is for. If the call is linked to an appointment, the client name is pre-filled.
Review your auto-transcribe preference and adjust if needed.
Tap Start transcribing. Confirm participant consent when prompted.
Step 3: While the call is running
Once transcription starts, the panel title changes to Transcribing call with a live timer. The AI Scribe button in the call toolbar shows a Recording state while transcription is active.
Four tabs are available in the panel during the call:
Scribe: Live AI as the session progresses
Transcript: The live transcript of the call (May take a few minutes to appear once you start)
Add notes: Jot quick notes during the call without waiting for the draft
Patient context: Client information for reference during the session
Standalone Scribe modals are hidden during the call. All AI Scribe functionality is contained in the side panel while a call is active.
Step 4: After the call
When the call ends and processing completes, open the note. It opens directly in the post-session view with the session summary, transcript, coding, and draft note in one place.
Session summary: The AI-generated summary from the call
Transcript: The full call transcript alongside the note
Medical coding: ICD-10 codes to add or review
Draft note: The AI draft, marked for review before signing
If the session was linked to an appointment: The appointment shows transcription progress until the note is ready to open.

Call audio capture is unchanged. The underlying audio recording method is the same as before. Only the in-call experience and the post-session note landing are new.
How to run a call without AI Scribe active
Transcription is optional. To proceed without it, hide the AI Scribe panel before or after joining.
Locate the AI Scribe side panel on the right of the call screen.
Click the right arrow to collapse and hide the panel.
Continue the call without transcription running.
To reopen the panel at any time: Click the AI Scribe button in the call toolbar to bring it back.
How to transcribe when not using Carepatron telehealth
AI Scribe works with any video platform or live conversation. Start the transcription from the client's record in Carepatron, then run your call in your preferred tool.
Go to Clients and select the client you want to document.
Click New Note.
Select Start AI Transcribe.
Choose your recording source.
Conduct your session as normal. AI Scribe is recording and listening in the background.
When your session is done, click End Session.
Select Finish to stop the recording and begin processing.
Wait a moment while your note generates.
Once complete, your SOAP note will appear.
Transcription source options
When you click Transcribe, Carepatron prompts you to select a source. Choose the one that matches how you are running the session.
Live Scribe. Uses your device microphone to capture audio directly. Use this for in-person sessions or when your video platform audio is accessible through your microphone.
Telehealth. Shares audio from a video call. Use this when you are conducting a telehealth session and want to capture both sides of the call.
Live Dictation. Lets you speak your note directly into Carepatron. Use this to dictate after a session rather than transcribe during it.
Upload. Accepts an MP3, WAV, or MP4 file up to 1 GB. Use this to transcribe a pre-recorded session.
AI Scribe settings
Access AI Scribe settings at any time to configure how transcription and note generation behave. Select your preferences and click Save.
Default note template. The template AI Scribe applies when generating a note from a transcription. You can change the template after generation if the first result is not right.
Generated output language: The language the generated note is written in. Carepatron detects every spoken language during transcription. This setting controls only the output language.
Under Customization, four additional settings are available:
When you click Customization, you can adjust other settings, such as how you and the client are referred to, the perspective, the verbosity, and the note generation quality.
Refer to client. How the generated note refers to the client (for example, by first name, last name, or "the client").
Refer to practitioner. How the generated note refers to any practitioners in the session.
Writing perspective. The grammatical person used in the note.
1st person, 3rd person, Clinical format
Verbosity. How much detail is included in the generated output.
Concise, Standard, Detailed, Super detailed
