Using the Ask AI Features

Welcome to the Ask AI! This article will guide you through the features currently available and how to make the most of them.

🧠 What is Ask AI?

Ask AI is a built-in side panel that brings Carepatron’s AI assistant directly into your workspace. You can ask questions in natural language and receive tailored responses based on the context of:

  • The current client/contact

  • The open note and its transcription

  • The latest 20 notes from the client

  • Highlighted text

  • Uploaded documents (PDFs, images)

  • Completed form fields

  • General healthcare queries

This allows you to perform powerful actions like summarization, rewriting, clarification, tone changes, and even Q&A—without switching tabs or apps.


Accessing the Ask AI Panel

  1. Go to Clients

  2. Select the client you want to create the note to.

  3. Select New Note

  4. You'll see the Ask AI option in the right panel of the Note window.


Conversing with the AI

You can communicate with the AI conversationally by following the previous steps and just asking questions in the Ask AI Anything option


Adding Files and Documents

You can upload additional files to enrich your conversation with the AI. Supported formats include:

  • Documents: .pdf, .docx

  • Images: .png, .jpg

You just need to drag the file and Ask AI what you need to do with that specific file or document.

Note: File uploads are limited to 100 MB per file.


Using Text and Form Fields as Context

Enhance your queries by selecting text or adding form fields directly from your notes. This context helps the AI generate more accurate and tailored responses.


Retrying Responses

If the AI encounters an issue, simply click the retry button to resend your query.


Copying and Inserting AI Responses

  • Copy AI responses to your clipboard for quick use elsewhere.

  • Insert or replace text directly in your note with the AI’s response by selecting the appropriate option.


✨ Smart Suggestions

Depending on the state of your note, Ask AI will surface relevant suggestions:

  • Blank note: Suggestions like "Start with a summary" or "Ask about client history"

  • Populated note: Suggestions like "Fix grammar", "Summarize this note", "Change tone"


Frequently Asked Questions

  1. Do you automatically delete chat history?
    No, chat history is kept indefinitely. However, future updates will allow customizable retention policies.

  2. Can I start a new conversation in a note with an existing conversation?
    Not yet, but this feature is coming soon.

  3. What files are supported?
    Most text files (.pdf, .docx) and image files (.png, .jpg) are supported.

  4. Does the AI have access to a client’s record or previous notes?
    Currently, the AI cannot access client records or previous notes. It can only respond to queries based on the context (text, files, or form fields) that you manually add.

  5. Is Ask AI HIPAA-compliant and does it store any of my data?

    Ask AI is HIPAA-compliant and only processes information already available in your workspace. It does not store or retain data beyond your session context.
