Carepatron has introduced updates to its billing system over time to improve flexibility and control. As a result, some older appointments may still follow legacy billing. This article explains what that means, how it affects you, and what you can do about it.
What are legacy billing appointments?
Legacy billing applies to appointments that were created before February 25, 2025. These appointments continue to use an older billing structure in place at the time they were scheduled and are not compatible with new billing features.
They are essentially “locked in” to the previous system.
This is mostly commonly seen today with ongoing recurring appointments.
How do legacy billing appointments affect you?
If an appointment is using legacy billing, you may notice:
Limited ability to edit or adjust billing items
Unable to add insurance details or add to insurance claims
Limited functionality for tracking modifiers and diagnosis codes
Incomplete generated superbills
How to tell if an appointment uses legacy billing
You can quickly check this from the appointment itself:
Open the appointment
Click View
If the appointment is using a legacy billing, you’ll see an indication that says “Legacy Billing”.
Can you update a legacy billing appointment?
Appointments cannot be updated directly to new billing. If you need to use updated billing features for an appointment the recommended approach is to cancel and re-create the appointment.
This ensures the appointment is created with the latest billing functionality.
When should you recreate an appointment?
Consider recreating the appointment if you:
Need to update billing details or pricing
Want to apply new billing workflows or automations
Are you experiencing limitations due to legacy billing
Important: If you encounter legacy billing appointments for newly created appointments, please contact support to investigate, and include how the appointment was created
Legacy billing plans are tied to older appointments created before billing updates. While they remain functional, they don’t support newer billing features. If you need full control over billing settings, recreating the appointment is the best way forward.
