How to set up Outlook calendar sync in Carepatron

Choose which Outlook calendars to display in Carepatron and where your appointments are pushed

Outlook calendar sync now gives you full control over which Microsoft calendars you pull events from and which calendar receives your Carepatron appointments. Both settings are configured in Connected Apps and take effect immediately.

Key terms

  1. Pull calendars: Outlook calendars whose events are displayed inside Carepatron. You can select one or more. Events are colour-coded or labelled by their source calendar.

  2. Push calendar: The single Outlook calendar that receives Carepatron appointments. You choose one: your primary calendar, any editable calendar, or the auto-created Carepatron calendar.

  3. Read-only calendars: Shared or read-only Outlook calendars can be selected as pull sources but cannot be set as the push target.


Setting up pull and push calendars

  1. Go to Settings>My profile>Connected Apps.

  2. Connect your Microsoft account, or select one already connected.

  3. Click Set up calendar sync to open the configuration modal.

  4. Enable the Display in Carepatron toggle and check each Outlook calendar you want to pull events from. At least one calendar must be selected.

  5. Enable the Push to calendar toggle and select the single calendar that should receive Carepatron appointments. Leave unselected to use the auto-created Carepatron calendar.

  6. Click Save. Changes apply immediately with no reconnection required.

Multiple Microsoft accounts: Settings are saved independently per connected account. Repeat these steps for each account to configure it separately.


What to expect after saving

  • Pulled events appear in your Carepatron calendar; Events from each selected Outlook calendar are shown and attributed to their source by colour or label

  • New Carepatron appointments are written to your chosen Outlook calendar: The push target receives all appointments created in Carepatron going forward

  • Changes take effect immediately: You can adjust pull and push selections at any time from Connected Apps without disconnecting your account


FAQs

  1. Can I push to more than one Outlook calendar?

    No. Exactly one calendar can be set as the push target at a time. To change it, return to Connected Apps and select a different calendar.

  2. What happens if I enable pushing but do not choose a calendar?

    Carepatron automatically creates and uses a dedicated Carepatron calendar on your Outlook account.

  3. Do I need to reconnect my Microsoft account to change these settings?

    No. Changes to pull and push selections take effect immediately without disconnecting or re-authorizing.

  4. Will this affect my existing Outlook sync setup?

    No. The existing pull and push toggles continue to work as before. This update adds the ability to choose which specific calendars are used on each side.
