Importing your client data is a simple way to get everything set up and running smoothly! Whether you’re switching from another platform or starting fresh, you can easily bring all your client details into one secure place.
In Carepatron, you have various ways to import client data:
Upload a file: If you aren't switching from another platform and have your files ready.
Import from another platform: You can choose the platform you are switching from.
Download template: If you want to use our template to organize your files before importing client data.
In this article, let’s walk you through the steps to ensure your import goes off without a hitch.
Import client data with your files ready
Go to Clients.
Click the Import button in the upper-right corner.
Choose Upload file as your source.
Click to upload or drag and drop the file.
A prompt will appear indicating that file import is being processed.
Follow the next prompts on your screen.
Click Finalize import.
Note: You may choose Download template as your source if you want to use Carepatron's template to organize your files first, before importing client data.
Import client data from other platforms
Go to Clients.
Click the Import button in the upper-right corner.
Select Import from another platform as your source.
Select the platform you are importing data from.
Select the upload file to upload your client data.
The AI will automatically match the field to the ones you have under the client profile.
Review the fields to ensure your client data has been uploaded correctly.
Import your client notes and documents
Go to Clients.
Drag and drop the document and/or folder into the client record row for which it is intended.
They should now be visible in your client's records.
Import client data from Simple Practice
SimplePractice requires a specific process for data import. To initiate a data export:
Navigate to Settings > Practice > Data export.
Click Start export.
Choose whether you’d like to export data for All clients in the practice, One client, or All clients for one clinician (for group practices only).
If you choose All clients for one clinician, use the dropdown menu to Select a primary clinician.
Select the type of export you’d like to perform: Complete, Sessions, or Contacts.
Export your client data as a zipped file (ensure the file is not password-protected).

Common issues:
If your zip file is password-protected, SimplePractice may automatically add this protection - you'll need to remove the password protection first.
Emergency contacts can be imported as active clients; you can manually convert them to contacts or leave them as clients.
The system will automatically process and import your data once uploaded.
2. Import your data to Carepatron
Go to Clients.
Click the Import button in the upper-right corner.
Select Import from another platform as your source.
Select SimplePractice from the menu.
Upload your zipped (.zip) SimplePractice export file.
The system will process and import your data.
Export client data from the existing system
