How do I import my clients?

When switching from another EHR/PMS or physical records to Carepatron, we are here to make your transition seamless. Following this guide will help you import your existing clients, notes, and documents directly into your new workspace within 15 mins. You can import your client data across all our free and paid plans.

Switching from another EHR/PMS


Step 1: Exporting your client data

To begin importing your client data into Carepatron, you can first export it from your previous system. If possible, request that the export is in a CSV or Excel file format.

For detailed exporting instructions based on your previous EHR, see How do I export my client data from my existing system? If you don’t see your previous system in this list, contact their support team to request an export.

After you complete the export, continue to Step 2.


Step 2: Here are the steps to import your client data from another platform:

  1. Navigate to the Client page

  2. Go to the Import button in the upper right corner

  3. In the drop-down, select the platform you are importing data from

  4. Select upload file to upload your client data

  5. Review the fields to ensure your client data has been uploaded correctly


Step 3: Here are the steps to import your client data:

  1. Navigate to the Client page

  2. Go to the Import button in the upper right corner

  3. In the drop-down, select CSV or other

  4. Select the file you are uploading from your desktop

  5. Match the columns of your spreadsheet with client record fields

  6. Select the Submit button

  7. Select the Done button


Step 4: Drag and drop your client notes and documentation

Once you have imported your clients, you can drag and drop your client's documentation. To do this:

  1. Navigate to the Client page

  2. Select the file you are uploading from your desktop

  3. Drag and drop it into the corresponding client record or go into the client record, select the more actions button on the upper right, and upload file.

  4. Select the save button

  5. Repeat for each client.


Switching from physical records

When migrating from physical records, there are 2 options for importing your clients into Carepatron.

Using the import tool

You can import your clients directly into your account using Excel or Google Sheets. To do this:

  1. Manually add your client's information to your Excel or Google Sheets

  2. Navigate to the Client page

  3. Go to the Import button

  4. Select either Choose a file button

  5. Select the file you created

  6. Match the columns of your spreadsheet with client record fields

  7. Select the Submit button

  8. Select the Done button
